How It Works for Clinics

Joining the Animal Care Foundation allows your clinic to give back to the community while helping pets receive essential veterinary care. Here’s how the program works and what to expect when you join:

Responsibilities of a Member Clinic

As a member clinic, you agree to:
-Accept at least one ACF client per year.
-Provide $250 in pro bono veterinary services to accepted ACF clients.
-Utiize the Supplemental Assistance Program, which provides up to $1,000 in additional funds if needed.

Procedure Breakdown

1. Referral from ACF - ACF contacts your clinic with a referral for a client who has been approved after completing their application process.
2. Clinic Decision - Your clinic’s designated contact person reviews the referral and decides whether to accept or deny the client, based on a pre-established protocol, then informs ACF of the decision.
3. Client Appointment - If accepted, ACF contacts the client and provides them with the clinic’s contact information so they can schedule an appointment.
4. Veterinary Treatment - The clinic meets the client and provides veterinary care to their pet.
5. Submission of Receipts - After providing care, the clinic sends the client’s receipts, including details of the $250 in pro bono care, any additional care (up to $100 covered by ACF), and any balance the client is responsible for, to ACF via email for reimbursement.
6. Reimbursement - If the clinic exceeds the $250 of pro bono care, ACF will process reimbursement within four weeks after receiving the clinics request.

​ACF offers resources and guidance to make participation easy. You can set limits on how many clients you accept, and we’ll ensure clients meet the necessary eligibility criteria. If you have any questions about the program, clients, or billing, please email [email protected]

FAQs

  • “How do we decide whether to accept a new ACF client?”​
Answer : Each clinic designates a program contact person who makes the decision based on your clinic’s established protocols. This person will inform ACF whether the clinic can accept the client.
  • “How do we track the amount of care provided to ACF clients?”
Answer : Set up a special payment code in your computer system or add a positive balance to the client’s account to track the pro bono and additional care provided under the ACF program.
  • “What happens if a client exceeds our clinic’s pro bono care limit?”
Answer : If your clinic exceeds the $250 pro bono care pledge, ACF will cover up to an additional $100. If the client requires further care, you can bill the remaining balance to the client. ACF will reimburse your clinic within four weeks of receiving the request.
